ClientVision CRM Activity

CRM activity allows user to plan or log the task that happens every day. CRM activity links up other business modules like client, candidate, postion etc. in CRM.Using with activity, user could keep checking the history of marketing events among all users and do some in-depth analysis for team.


Create activity

You could click "Add new activity" button on calendar tool bar or open the Activity menu and click "Add new activity" .

Activity input screen is a popup all the time. You could drag the screen or maximize it.

Subject - the subject of activity

Date - the effective date of activity. You could use date chooser to select multiple date if activity is effective on several date. To choose multiple date in date, you could use "Shift+mouse" or "Ctrl+mouse".

Scope - the activity scope of view. for PUBLIC activity, all CRM user can see it for GROUP activity, only the users in the same group or supervisor users can see for PRIVATE activity, only the ower and the supervisor users can see

The following table shows the visibilty of activity to different user in CRM

Please note that there is no really PRIVATE activity exists in CRM. This is because CRM is a cooperated software and should not have personal data. Otherwise, CRM does benefit company users by sharing data among users. Any inforamtion that created or updated by one user may be valuable to other one.


Owner - the creater of activity

Priority - the priority of activity, general CRM provides levels of LOW, NORMAL and HIGH

Type - the type of activity means how you handle with the activity. Like by phone call, by courier, by email, by SMS or whatever

Task - the tasks draw down list is defined by system administrator. Usually, different company can define its own set of task for users.

Assign to User - the task user to be assigned to. You could choose any user in CRM as the assigned user so this task will be shown on his/her popup message and calendar.

Assign to Group - the task group to be assigned to. You could choose any group in CRM as assigned group so this task will be shown on the group user's message and calendar.

Description - the description is the detail information of activity. You could use HTML format content.

References - the references allows you link up other module records to activity. You could link up client, candidate and position. Click the module you would lik to link, the a popup record chooser screen appears. You could type some key word to run a search. If you want to see the full list, just click the search button. Please check the record that you would like to link up. You could choose multiple records and they all appear in the references box. After you finish choose reference records, you could also decide to link or not link it by check/uncheck the recrod in reference box.

If you think the activity input is completed, then click save to store it to CRM.

Update activity

You click an activity on calendar or in the activity list. Then you could update activity on popup screen. When finished, click "save" to store the changes.


Save as new

You could save an existing activity to a new activity by clicking "Save as new". This button usually convenient user to input multiple activities.


List activities

You could check the existing activities in the activity list screen. Open "List all activities" on the left tool bar under "Activity". Then you could see the task list and activity list.

List all activities by task

Click the task in the task list to change the list view of the activities for specific task.

Click "Activity for all tasks" to see activities for all tasks.

List all activities in a time range

You could narrow the activity list in a time range. Set the start date and end date on the top tool bar.You could only set start date or end date.

If you set start date only, then end date is 3000-01-01.

If you set end date only, then start date is 1900-01-01.

Please note that then you finish changing time range, the list is not changed utill you click task item in task list or "Activity for all tasks" button.

List activities for specific client

Open a client preview screen and then click activity tab, you could see the list of all activities related to this client.

List activities for specific candidate

Open a candidate preview screen and then click activity tab, you could see the list of all activities related to this candidate.

Open a job preview screen and then click activity tab, you could see the list of all activities related to this job.
